Why doesn't the City of Vaughan reduce the number of purchasing (P) cards in circulation and go back to the old system of itemizing each purchase?
The answer was provided by the City of Vaughan:
The City of Vaughan implemented the PCard program to transition from manual-intensive processes to a more efficient and cost-effective method of purchasing low-value goods and services, reducing overall transaction time while improving transparency, visibility, monitoring and reporting.
As part of the monthly reconciliation process, all original receipts itemizing all purchases during the period are included with the monthly activity statement submission to financial services.
Since implementing the PCard program, the city has realized administrative and transactional savings through the significant reduction of cheque payments to multiple vendors and employee reimbursements.
